Enabling contact sync for Bullhorn

Contact sync for Bullhorn is an additional integration feature that allows you to import and sync your Bullhorn contacts with your TextUs account. After you complete the one-time integration process, you'll be able to do the following:

  • Search for and view a Bullhorn contact's details in the TextUs Chrome extension including their Bullhorn ID

  • Keep Bullhorn contacts up to date in your TextUs account including SMS opt-out status

Note: Your Bullhorn admin should complete the steps in this section to ensure your integration has the correct account settings and permissions.

How to enable contact sync for Bullhorn

Before contact sync for Bullhorn can be enabled, you’ll need to follow the steps below to update the required items in your Bullhorn ATS. Once the steps are completed, you'll contact the TextUs Support team and provide screenshots to verify the updated settings so they can enable Bullhorn contact sync for your organization.

Important Note: Contact sync for Bullhorn can only be enabled by the TextUs Support team. Following the steps below is required for the TextUs Support team to enable contact sync for your Bullhorn integration.

Step 1: Audit your Bullhorn opt-out information

First, you must audit your Bullhorn ATS Candidates, Contacts, and Leads to verify that any records that share the same phone number also have the same opt-out status. This ensures compliance with regulations and prevents your text messaging from being affected by incorrect opt-out data.

Step 2: Add the ‘Opted In - SMS Messages’ column to your List view

Since SMS opt-in status does not display within Bullhorn list views by default, you'll need to ensure you add the 'Opted In - SMS Messages' column into your list views to more easily view and manage them.

Reminder: Grab a screenshot of your updated Contacts, Candidates, and Leads list views that include the Opted In - SMS Message column.

  1. Log in to Bullhorn and go to Menu > Contacts.

  2. Click the Columns dropdown menu.

  3. Search for "Opted In - SMS Messages" in the search field and select it from the list.

  4. Click Save.

  5. Go to Menu > Candidates and repeat steps 2 - 5 above for the Candidates View.

  6. Go to Menu > Leads and repeat steps 2 - 5 above for the Leads View.

Step 3: Update ‘smsOPTin field mapping

The smsOPTin field mapping settings allow your integration to accurately record and sync any opt-in and out-out status updates between your TextUs and Bullhorn accounts.

Reminder: Grab a screenshot of your field mapping for smsOPTin that includes the updated Default Value for the Contacts, Candidates, and Leads views.

  1. Go to Menu > Admin > Field Mappings.

  2. Click the Contact dropdown menu.

  3. Search for “smsOPTin” in the Field search field.

  4. Click the smsOPTin dropdown menu and change Default Value from 0 to 1.

  5. Click Save.

  6. Go to Menu > Admin > Field Mappings and repeat steps 2 - 6 above for the Candidates View.

  7. Go to Menu > Admin > Field Mappings and repeat steps 2 - 6 above for the Lead View.

Step 4: Update the ‘defaultSMSOptIn’ value

The defaultSMSOptIn field mapping settings allow you to set the default SMS opt-in status for every new contact, candidate, or lead created. We recommend setting the default opt-in status value to ‘true’ so that contacts are opted into SMS by default. However, this may vary based on how your organization handles gathering SMS opt-in consent.

Reminder: Grab a screenshot of your defaultSMSOptIn settings that include the updated information in the Value field.

  1. Go to Menu > Admin > Field System Settings.

  2. Enter "defaultSMSOptIn" in the search field and click Filter.

  3. Click the defaultSMSOptIn dropdown menu and enter the following information in the Value field:

    • { Lead: True, Candidate: True, ClientContact: True }

  4. Click Save Changes.

Step 5: Verify your account's Contact, Candidate, and Lead opt-in status

To make sure your account's settings are configured correctly for contact sync, we recommend you go back to your Contact, Candidate, and Lead records and use the Opted in - SMS Messages filter to view how many records have an Opted In - SMS Status set to No.

The number of records returned that have an Opted In - SMS Status set to No will be the number of opt-outs brought over from Bullhorn to Bullhorn Messaging after Contact Sync is enabled.

Note: If you have any issues with your opt-in record data, contact Bullhorn Support before enabling Contact Sync.

Step 6: Submit proof of the updated settings to TextUs Support

After you have completed the steps in the sections above, email [email protected] and attach screenshots of your updated Bullhorn settings. We will enable contact sync for Bullhorn for your organization and send a confirmation via email once the process is complete.
